This Privacy Policy explains how Promoting Image, Inc. (“Promoting Image,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit www.promotingimage.com (the “Site”), contact us, fill out a form, call us, or receive text messages or emails from us. By using the Site, you agree to the practices described here.
Information we collect
Information you give us
When you fill out a form on the Site (such as Get Started, Free Marketing Benchmark, Contact, Schedule a Call, or a service consultation form), we collect the information you enter, which may include:
- Your name, email address, and phone number
- Your business or practice name, website address, industry, and service area
- The services you are interested in, your marketing budget range, and your timeline
- Competitors, target searches, goals, and any message you choose to send
- Whether you agreed to receive text messages, and when
We also collect information you provide when you call, email, text, chat with, or meet with us.
Please do not send health, medical, or other sensitive personal information through our forms, chat, or text messages. We are a marketing agency and do not need that information to respond to your inquiry.
Information collected automatically
When you visit the Site, we and our service providers automatically collect certain information, including your IP address, browser and device type, pages viewed, time spent on pages, the website or ad that referred you, and approximate location based on your IP address. If you arrive from an ad or campaign link, we may record campaign details such as UTM parameters and advertising click identifiers (for example, Google or Meta click IDs) and store them with any form you submit so we can understand which marketing brought you to us.
Phone calls. The Site may display tracking phone numbers that tell us which page, ad, or search led to your call. For calls to these numbers, our call tracking provider records the calling number, date, time, and duration, and calls may be recorded. Where a recording is made, you will hear a notice at the start of the call.

How we use information
- To respond to your inquiry, prepare benchmarks, proposals, and consultations, and schedule calls
- To provide, manage, and bill for services if you become a client
- To send follow-up emails and, if you consented, text messages about your inquiry

- To measure and improve our own advertising and understand which marketing brings us inquiries
- To comply with legal obligations, enforce our terms, and protect our rights and the rights of others
Text messaging (SMS)
If you check the optional text message consent box on one of our forms, Promoting Image may text you with replies to your inquiry and appointment reminders and confirmations. The box is not checked by default, and consent is not a condition of purchasing any product or service.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We may share phone numbers only with the service providers that help us deliver text messages, such as our messaging platform and telecommunications carriers, and only for that purpose.
How we share information
We do not sell your personal information. We share information only as described below:
- Service providers that perform services for us under confidentiality obligations, including website hosting, form processing, email delivery, our customer relationship management and messaging platform, call tracking, and website analytics.
- Advertising and analytics partners described in our Cookie Policy, including Google, Meta, which may receive information about your visits to the Site through cookies and pixels. We do not share the contents of your form submissions or your text message consent with advertising partners.
- Legal and safety reasons, when required by law, subpoena, or court order, or when needed to protect our rights, property, or safety, or those of others.
- Business transfers, if we are involved in a merger, acquisition, or sale of assets, subject to this Policy.
- With your permission, for any other purpose you approve.
How long we keep information
We keep inquiry and contact information for as long as needed to respond to you and follow up, and for up to three years after our last contact unless you ask us to delete it sooner. Client records are kept for the length of the engagement and as required for tax, accounting, and legal purposes. Records of text message consent and opt-outs are kept for at least five years so we can honor your choices and show compliance.
How we protect information
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information, consistent with New York’s SHIELD Act. These include encrypted connections (HTTPS), access controls, secure hosting, and limiting access to people who need it. No method of transmission or storage is completely secure. If a security breach affects your private information, we will notify you and the appropriate authorities as required by New York and other applicable law.
Your choices
- Email: use the unsubscribe link in any marketing email.
- Text messages: reply STOP at any time.
- Cookies and ads: see the choices in our Cookie Policy.
- Access, correction, or deletion: email steve.ruhs@promotingimage.com to ask what information we have about you, or to correct or delete it. We will respond within 45 days. We may need to verify your identity, and we may keep information we are legally required to retain.
Depending on where you live, you may have additional privacy rights under your state’s law. We will honor those rights as required.
Children’s privacy
The Site and our services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has sent us information, contact us and we will delete it.

The Site links to other websites, including client websites shown in our portfolio. We are not responsible for their privacy practices. Review each site’s privacy policy.
Changes to this policy
We may update this Privacy Policy from time to time. The effective date at the top shows when it was last changed. Material changes will be posted on this page.
